Key Dates for the 2026 Renewal Cycle
The West Virginia Offices of the Insurance Commissioner has confirmed the following important dates for the upcoming appointment renewal cycle:
Termination Deadline: May 31, 2026 (by 3:00 PM Central Time)
Invoice Date: June 1, 2026
Renewal Period: June 6, 2026 – August 31, 2026
Insurance companies should review appointment records carefully before the renewal period begins to determine which appointments should remain active and which should be terminated.
Review Terminations Before the Renewal List Is Generated
Appointments that will not be renewed must be terminated before May 31, 2026 at 3:00 PM (Central Time). Once the renewal invoice and appointment list are generated, companies will no longer be able to terminate appointments included on the list.
Carriers should also note:
Appointments added on or after June 1, 2026 will not require renewal during this cycle.
If a company believes an appointment on the renewal list was previously terminated, disputes must be resolved with the West Virginia Department of Insurance before the renewal period begins.
Renewal Invoices Available Through NIPR
Beginning June 6, 2026, companies will be able to access their renewal invoices and appointment lists through the NIPR Producer Database (PDB).
All appointment renewals must be processed electronically through NIPR. Payments cannot be made directly to the West Virginia Department of Insurance.
Companies should also note that:
Renewal invoices will no longer be available after 4:00 PM on August 31, 2026
Payments processed through NIPR will reflect immediately as paid
NIPR forwards renewal transactions and payments to the state within 24 hours
Fees and Payment Requirements
The state renewal fee is $25 per appointment.
In addition to the state fee, NIPR applies a processing fee equal to 1% of the total state fee, with:
Minimum fee: $5
Maximum fee: $1,000
Accepted payment methods include:
Credit card
Electronic check (ACH)
Companies should note that credit card payments have a $60,000 transaction limit, so invoices exceeding that amount must be paid using an alternative method.
All renewal payments and NIPR processing fees are non-refundable.
Consequences of Missing the Renewal Deadline
Failure to remit payment before the end of the renewal period may result in automatic termination of producer appointments.
If appointments terminate due to missed renewal payments, the carrier must submit new appointment requests for each producer they wish to appoint again with their company.
This process can create additional administrative work and potential delays in producer selling authority.

Reviewing producer appointment records
